Ordinary General Meeting 2012

Voting Arrangements for Election of
Standing Committee Members

  1. At the OGM, election will be conducted in relation to 8 vacancies in the Standing Committee, there being 12 candidates.

  2. Convocation members who have registered for E-Voting may cast their votes electronically when the E-Voting System opens during 18:00 on June 5, 2012 (Tuesday) to 17:59 on June 12, 2012 (Tuesday). Notices by e-mail as to the opening and closing of the E-Voting System will be sent to those Convocation members. It will not be possible to vote electronically after the close of the E-Voting System.

  3. Convocation members may, at the same time as appointing their proxies, cast their votes on the candidates. The proxy form contains an optional Election Vote(s) section. Proxy forms should be delivered to the Clerk of Convocation not less than 72 hours prior to the time for holding the OGM i.e., no later than 6:00 pm, June 15, 2012 via the Convocation Secretariat, c/o Development & Alumni Affairs Office, Room 738, 7/F Knowles Building, The University of Hong Kong, Pokfulam Road, Hong Kong, during office hours (9:00 am – 5:00 pm, Monday to Friday; and 9:00 am – 6:00 pm on June 15, 2012). Late and copy proxies will not be valid.

  4. Convocation members who have not already cast their votes electronically or by their proxy forms may vote in person at the OGM.

  5. The Registrar of the University, Mr. Henry Wai, will act as the election scrutineer at the OGM.

  6. Regulations governing the election process can be found in the "Elections by Convocation" and "Votes" sections of the Rules of Convocation.
